Create an unlimited number of custom reports using the Report Generator. You can select any data in BusBoss™ to print on the reports.
Report Generator Screen
This drop down list contains all the data tables in the BusBoss™ database. Select a table, and all the fields in the table will display in the list below the table name. You must first select a table in order to create a report.
Give your custom report a title that describes the data being printed. This is the title that will be printed on the report and the title that will be saved if you save the report format.
This is the total number of records you want to print on your report. If you are testing the format of a report, print only a few records to make sure you have the sorting and filters accurate. When you get the format you want, then increase this number to include all records.
The report generator toolbar has the following functions:
Click this button to start a new report. If you have a report format displayed, you will get a blank screen to create a new report.
If you have reports saved, a screen will pop up with a drop down list of all the reports you previously saved. Select a report from the list and click OK. The report format will be displayed on the Report Generator Screen. You can now run the report.
Use this button to save report formats for later use. The report will be saved with the selected report title. To save the current report setting as another report, rename the current report and click Save Report. You will now have two reports saved.
Use this button to delete reports. A list of reports you have created will pop-up. Highlight the report you want to delete and click OK. A confirmation menu comes up to delete the report. Click Yes or No.
NOTE: Only report formats are saved, not the report data. New data is generated for a report when the report is executed.
There are two ways to add fields (columns of data) to your reports. When you select a table, all the fields in the table will display below the table name. Highlight the field you want in the report. Click Add Field and the field name will be added to the list of fields that will print on the report. Or, you can double click the field name and it will be added to the list.
You can print data from other tables within the same report. Select another table from the drop down list and add the fields you want to the report as described above.
NOTE: Columns on the report will print in the order in which the fields are in the list.
To remove a field from the list, highlight the field in the list and click Delete Field. The field will be deleted from the list and will not print on the report.
Move Field Up
Highlight a field in the list of fields to print on the report. Click Move Field Up and the field will move up in order.
Move Field Down
Highlight a field in the list of fields to print on the report. Click Move Field Down and the field will move down in order.
Use this button to sort and filter the data being printed on the report. Select a field in the list of fields to print. Click Configure Field, and the following screen pops up.
The field name you are configuring will appear at the top of this screen. Select one or more of the following:
Filter Type: Choose from =, >, >=, <, <=, <>, or NONE.
Filter Expression: This is the condition your data must meet in order to print on the report. In this example, all students whose names begin with 'M' or greater will print.
Sort Type: If you want to sort your data by this field, select the type of sort (ascending, descending, or none).
Sort Order: This is the order in which this field will be sorted. If you have more than one field selected to be sorted in the same report you must select a sort order for each field (ex, 1,2,3).
NOTE: You can have more than one field sorted in the same report by selecting a sort order for each field.
When you have finished setting up your report format, click Execute Search. If you have selected data for your report from more than one table, then a report links screen will display. You will be required to select which links you want for the report.
Tables in BusBoss™ are linked by matching fields from one table to another. In most cases, these fields have similar names in both tables. For example, you can print a student's address by linking the Student.HomeAddressId with the Address.AddressId.
WARNING: You can not have two fields linked to the same field in another table. No records will print if you have the same link used more than once.
