NEW JERSEY STATE DRTRS

DRTRS

BusBoss automatically generates the DRTRS state report data files. This will save you weeks, maybe months, of time calculating your state report for reimbursement. Because BusBoss is a true windows program, it can accommodate the Internet submission of the DRTRS.

BusBoss automatically calculates the home-to-school distance for each student based on actual travel distance and then creates the data files needed for submission to the state. BusBoss stores all student information necessary for the DRTRS, such as aid-in-lieu-of and half day program.

Run through BusBuster - New Jersey DRTRS to find all data problems. When completed with all corrections, generate the DRTRS report for Routes and Students.

DRTRS CHANGES

To accommodate the changes made by the state, changes in BusBoss may be necessary.

A new school type has been added, "Early Childhood Community Provider".

To "allow" BusBoss to use this new school type, perform the following.

Log in to BusBoss as you normally do. Click Maintain, and then click Look up Tables. Click School Types from the list on the left side of the window.

You will be presented with a list of school types in the system. This list is completely editable. For our New Jersey customers, you should only modify this list when instructed to do so by us (Orbit Software), or the New Jersey State Office of Student Transportation. The School Type Codes are transmitted to the state during the DRTRS process, and should NOT deviate from the following list.

School TypeDescription
1 Public
2 Non-Public
3 Private School For The Handicapped
4 Charter School
5 Early Childhood Community Provider

To add the new school type, Click Add at the top of the window. Type '5' for the CODE. Type 'Early Childhood Comm. Provider' for the DESCRIPTION.

Note: This field only stores 30 characters and 'Early Childhood Community Provider' is 34 characters. Therefore, you will need to shorten the description. Since CODES are transmitted to the state, the abbreviated description has no affect on the DRTRS.

A new Route Id has been added for "CHOICE" students.

This new Route Id is used for students that attend a CHOICE school, but receive aid instead of transportation. Ideally, BusBoss would have a selection for CHOICE on the student screen, similarly to the AIL, CSPP and CCC. Unfortunately, not enough time was given by the state for us to incorporate the changes for the DRTRS. Therefore, a work-around will be created. For those CHOICE school students that receive aid in lieu of transportation, you will modify the Comments for the student. In the Comment, please put RouteId=CHOICE. You may still have other information in the comments section.

Student Has IEP

The state has added a new field to the data collection requirements. This new field is "Student Has IEP". According to the state, every student that has a grade of S1 or S2 must have an IEP. Students with other grades (PK-12) cannot have an IEP. When BusBoss is preparing the DRTRS report data, any student with a grade of S1 or S2 will automatically be marked with a "yes" in the "Student Has IEP" question, otherwise, "no" will be entered.

Date Of Birth is required.

BusBoss stores the date of birth already. BusBoss checks to make sure this information exists for all students.

Route Cost is required for all routes, including district owned.

All trips in BusBoss must have a route cost. When dividing the cost over multiple trips, enter the total cost in the primary trip and .01 for the remaining trips.

State Id Numbers must be assigned to all students.

These numbers are provided by the state and can be updated using the Update State IDs tool found in the File Menu.

PENNSYLVANIA STATE REPORT

Pennsylvania State Report

BusBoss™ automatically calculates the miles with students, miles without students, and the largest number of students for each bus. The Sample Average Method is used for calculating these values. That is, BusBoss™ will take a 'snapshot' of your route data once a month for eight months, from October to May. These values are then averaged and printed on the PDE end-of-year report to be submitted to the state.

There are two state reports to choose from. If your district has its own buses, then you will print the 'LEA-Owned' report. If your district contracts its bus service (or has parent contracts), then you will print the 'Contracted' report.

To assure accurate calculations for the Pennsylvania state report, BusBoss™ data must meet several requirements:

Bus Information

  • Every bus used on a route must be assigned to a contractor (the contractor will be the school district if you have your own buses).
  • Each bus used on a route must have a VIN, year of manufacture, and seating capacity.
  • Odometer readings from the beginning of school year and the end of the school year must be entered for each bus, unless Manual odometer readings have been entered using the Bus Odometer Tool. User may select to enter beginning and ending odometer readings for one bus and manual odometer readings for others. If the ending odometer reading is not yet known, leave it blank.

All of the above bus information is maintained on the Bus Information Screen.

Contractor Information

  • Every contractor must have a notification number.
  • Check Contracted Service box for each contractor, including parent contracts. School district owned fleet are not considered contracted.
  • If you contract your bus service, you must enter the total amount paid to the contractor. If the amount paid is not yet known, leave it blank.

All of the above contractor information is maintained on the Contractor Information Screen.

School Information

Configuration Information

  • The district's administrative unit number (AUN), district name, and PDE key must be entered on the Configuration Screen.

Route Information

  • If a bus has several trips assigned to it, then the last stop on a trip must be the same as the first stop on the next trip. Otherwise, the miles without students will not be calculated accurately.

For example, if the first trip in the morning ends at the high school, then the second trip in the morning must start at the high school. Likewise, if the second trip in the afternoon starts at the elementary school, then the first trip in the afternoon must end at the elementary school.

All of the above route information is maintained on the Edit Routes Screen.

Electronic EOY Data File

The Electronic EOY Data File can be generated to be used for the Internet submission of the PDE end-of-year report.

Vehicles without manual odometer readings will use the paths associated with each trip to calculate the miles with and without students. Manually entered odometer readings for each individual vehicle will be used if they have been entered using the Tools - Bus Odometer screen. Please be sure to enter odometer readings for all trips associated to the one vehicle for the date specified.

BusBoss will automatically check the data and notify you if there are any problems. The following screen will pop-up if there are problems. Otherwise it will continue on to generate the End of Year electronic file.

PA State Report Problems Screen

Click Show Report to get a list of the problems and how to correct them. These must be corrected or your electronic file will have incorrect information. You do have the option to Continue without fixing the problems. This is not recommended.

Sample PA State EOY Errors Report

NOTE: Please verify all routes for accuracy before submitting these reports. Tools and reports have been provided to check for discrepancies.

NOTE: You must calculate the Pupil Transportation Data Worksheet report before printing the LEA-Owned or Contracted Service reports or generating the Electronic EOY Data File. Otherwise, you will not have data to print on the reports. After the worksheet has been calculated, you do not have to rerun the worksheet unless changes were made to your routes Only those months affected by these changes have to be recalculated.

PDE-1049-C Contracted Service Report

Print this report if you contract your bus service or have parent contracts. Each contractor will print on a separate report.

PDE-1049-O LEA-Owned Service Report

Print this report if your school district owns its own buses.

NOTE: All buses must have a contractor assigned. District owned buses must create a district named contractor but do not select the contracted service box in the Maintain Contractor Contract Tab

Pupil Transportation Data Worksheet Report

This report will calculate the data needed for the year-end state report. Select the date you want to use for each month. Only dates saved to history can be used for creating this data. Click OK and BusBoss™ will calculate the data automatically. Changes made to history will not be updated until the applicable month has been recalculated. Click the ... button to the right of the month and re-select the date, BusBoss™ will re-calculate the data automatically.

Click OK to preview the report generated and then print it for your records.

TEXAS STATE REPORT

Texas Route Service Report

BusBoss will automatically generate the Texas Route Service Report using Route Codes entered in for each route using the Maintain Route screen.

Texas State Report Select Route

The route list comes from all of the routes (current and history) created in BusBoss. This report is created using the Texas Department of Education guidelines.
